Build reusable workflows that you can run anytime. Execute multiple tasks sequentially with auto-transitions and track your progress over time.

What is a Routine?

A Routine is a saved sequence of tasks that you can run anytime.

Example: "Morning Routine"

1. Review calendar and priorities (5 min)
2. Process inbox to zero (15 min)
3. Plan top 3 tasks for day (10 min)

Total: 3 tasks, 30 minutes
Run count: 47 times
Last run: 2 hours ago

vs Single Tasks:

  • Single task: Create once, execute once
  • Routine: Create once, execute many times

Basic Creation

  1. Click "+ Create Routine" (Routines page)
  2. Enter details:
    • Name (e.g., "Morning Routine")
    • Icon (emoji, e.g., 🌅)
    • Color (visual theme)
    • Category (optional, e.g., "Daily")
  3. Click "Create"
  4. Add tasks to routine

Adding Tasks to Routine

Method 1: AI Generation in Routine

  1. Open routine
  2. Type task in input field (inside routine modal)
  3. Press Enter
  4. AI generates steps automatically
  5. Task added to routine with steps

Method 2: Copy from Existing Task

  1. Find task in Inbox or List
  2. Click task menu (⋯)
  3. Select "Add to Routine"
  4. Choose routine (or create new)
  5. Task copied with all steps

Method 3: Manual Addition

  1. Open routine
  2. Add task without AI generation
  3. Manually add steps
  4. Or generate steps later

Limit: 20 tasks max per routine


Name & Icon

Name:

  • Required field
  • Descriptive (e.g., "Client Onboarding")
  • Must be unique

Icon:

  • Emoji picker available
  • Default: 📋
  • Visual identifier in list

Examples:

  • 🌅 Morning Routine
  • 💼 Client Onboarding
  • 📝 Weekly Review
  • 🏃 Pre-Meeting Prep

Color

Custom color per routine:

  • Visual distinction
  • Progress bar color
  • Card accent
  • 8 color options

Use for:

  • Category coding (work = blue, personal = green)
  • Priority (urgent = red)
  • Personal preference

Category

Optional grouping:

  • "Daily", "Weekly", "Client Work", etc.
  • Filter by category on Routines page
  • Organizational layer

Starting a Routine

  1. Click routine card or "Run Routine" button
  2. First task launches in Execute Mode immediately
  3. Complete all steps of task 1
  4. Transition screen appears: "Task 1 Complete! Next: Task 2"
  5. Click "Continue" → Task 2 launches in Execute Mode
  6. Repeat until all routine tasks complete

Result: Seamless sequential execution without returning to dashboard.

Sequential Execution

Automatic progression:

Task 1 (Execute Mode)
→ Complete
→ Transition Screen
→ Task 2 (Execute Mode)
→ Complete
→ Transition Screen
→ Task 3 (Execute Mode)
→ Complete
→ Routine Complete! 🎉

No decisions between tasks - momentum carries you through.

Pause & Resume

Pausing:

  • Press Esc in Execute Mode
  • Or click "Pause Routine" on transition screen
  • Progress saved (current task position)
  • Resume later from exact spot

Resuming:

  • Sidebar shows "Active Routine" indicator
  • Shows routine name and progress (e.g., "2/5")
  • Click "Resume" → Continue from current task
  • Or go to Routines page and resume from there

Can Resume:

  • Same day or days later
  • From any device (syncs)
  • As many times as needed

Stopping (Cancelling)

Cancel routine entirely:

  • Click "Stop" button on active routine indicator
  • Or from Routines page
  • Routine returns to idle state
  • Progress lost (run counted as cancelled)

Use when:

  • Routine no longer applicable
  • Need to start fresh next time
  • Interrupted indefinitely

Editing Routine

Routine properties:

  1. Click routine menu (⋯)
  2. Select "Edit"
  3. Change name, icon, color, or category
  4. Save changes

Cannot edit while running - stop routine first.

Editing Tasks in Routine

Modify tasks:

  1. Click task in routine modal
  2. Edit sheet opens
  3. Change title, description, or steps
  4. Add/remove/reorder steps
  5. Changes save automatically

Regenerate steps:

  • Click "Regenerate" in task sheet
  • Adjust detail level or add context
  • New steps replace old ones

Reordering Tasks

Change task sequence:

  • Drag and drop tasks within routine
  • Grip handle on left side
  • New order persists
  • Use to optimize flow

Deleting Tasks

Remove task from routine:

  • Click task menu (⋯)
  • Select "Delete"
  • Task removed from routine
  • Doesn't delete from Inbox (if it exists there)

Deleting Routine

Delete entire routine:

  1. Click routine menu (⋯)
  2. Select "Delete Routine"
  3. Confirm (warns if routine is active)
  4. Routine and all its tasks deleted
  5. Run history preserved

If routine is running:

  • Stops immediately
  • Guest tasks cleaned up
  • Run marked as cancelled

Run Count

Displayed on routine card:

  • Total times you've run this routine
  • "47 runs" badge
  • Increases each completion
  • Motivation metric

Last Run Time

Shows when you last ran:

  • "2 hours ago"
  • "Last Monday"
  • "3 weeks ago"

Helps identify:

  • Routines you use frequently
  • Routines you've abandoned
  • Execution cadence

Run Records

Each run creates record:

  • Start time
  • Completion/cancellation
  • Tasks completed (if partial)
  • Total time spent

Future: Run history page to review all runs.


Daily Routines

Examples:

  • Morning Startup
  • End of Day Review
  • Meal Prep Sunday

Pattern:

  • 3-5 tasks
  • 20-45 minutes total
  • Run every day or weekly
  • Build consistency habit

Project Templates

Examples:

  • Client Onboarding
  • Blog Post Creation
  • Weekly Report

Pattern:

  • 5-8 tasks
  • 60-120 minutes
  • Run per instance (new client, new post)
  • Consistent quality via template

Periodic Workflows

Examples:

  • Monthly Financial Review
  • Quarterly Goal Planning
  • Annual Tax Prep

Pattern:

  • 6-12 tasks
  • 2-4 hours total
  • Run monthly/quarterly/annually
  • Don't have to remember steps each time

Is Routines included in free tier?

No. Routines are Premium feature. Requires Founder's Pass ($35 lifetime).

How many routines can I create?

Unlimited routines. Each routine can have up to 20 tasks.

Can I share routines with others?

Not currently. Future: Routine templates sharing.

Do routine tasks sync to integrations?

No. Routine tasks are HealUp-only. They execute sequentially but don't create tasks in Todoist/Notion/etc.

Can I run multiple routines simultaneously?

No. Only one routine can be active at a time. Complete or cancel before starting another.

What if I miss a day?

No problem. Routines wait for you. Run whenever ready. No streaks or guilt.
